Wedding and event booking terms

How a wedding or an event is booked with Flower & Glory: the consultation, the quotation, the deposit, the balance, changes, the flowers on the day, hired items, and what happens if plans change.

What these terms are

These are the terms on which we do the flowers for a wedding or an event. They sit alongside our Terms of sale, which cover everything else you buy from us, and they are what you agree to when you confirm a booking by paying the deposit. Nothing here takes away a right the law gives you; where these terms and the law differ, the law wins.

How a booking starts

  1. A consultation. We like to meet in the shop, where we can show you flowers, colours and our past work; by telephone or a video call works too.
  2. A quotation, with a proposal. We then send a written quotation of every piece and its price, with a proposal made from it: pictures of the kind of work, when each payment is due, and how to go ahead. Prices include VAT where it applies. A quotation holds for the date printed on it, usually 30 days.
  3. You confirm. Tell us you would like to go ahead, and we send the invoice for the deposit.

Securing your date

A deposit of 30% of the quotation secures your date. It is paid when you confirm, and your date is held for you from the moment it arrives, not before: until then another couple could book the same day. The deposit is part of the price, not an extra.

The balance

  • For a wedding, the balance is due three weeks before the day. For any other event it is due a week before.
  • Booking closer than that? If you confirm less than three weeks before a wedding (a week before an event), the whole is paid when you confirm, because there is no later date to pay by.
  • The invoice shows the deposit, the balance and the date it is due, and you can pay by bank transfer or by card in the shop.
  • If the balance has not arrived by its date we will get in touch, because we cannot buy the flowers for a booking whose balance is unpaid.

Final numbers and changes

  • Changes are welcome up to the balance date: more tables, fewer buttonholes, a colour you have changed your mind about. We send a revised quotation and the balance moves with it.
  • After the balance date the flowers have been ordered for you. We will still add to a booking where the market allows, and charge for what is added. Taking pieces away after that date does not reduce what is owed, because the stems have already been bought.

The flowers themselves

Flowers are a living crop and every season is different. The quotation describes the look, the colours and the flowers we intend to use; the exact stems are chosen in the week of your wedding for freshness. If a flower is not available, we substitute one of equal or greater value in the same palette and style. If the change would be large (the named flower in a bouquet that is all about that flower), we will tell you before we make it.

On the day

  • We agree the delivery and set-up times with you and with the venue beforehand. Please make sure we can get in at those times and that somebody is there to receive the bouquets.
  • A venue's own rules (no naked flames, no fixings in the walls, a time the room must be cleared by) are ours to follow, so tell us about any you know of.
  • Our work is done when the flowers are delivered and set up as agreed. After that the flowers are in your care, and the venue's.

Hired items

Vases, stands, urns, arches and anything else we lend for the day remain ours. We collect them after the event, at the time agreed. Anything broken or missing when we collect it is charged at what it costs us to replace.

If you need to cancel or move the date

  • Cancelling. The deposit is not refunded, because your date has been held for you and turned away from others. If you cancel after the balance date, the flowers have been bought and the balance is not refunded; before it, anything paid beyond the deposit is refunded in full.
  • Moving the date. Tell us as soon as you can. If we are free on the new date, the quotation is revised for the new season and what you have paid goes towards it.
  • Please tell us in writing (an email is fine) so that we both have the date it was sent.

If we have to cancel

If we ever cannot do your flowers (illness, an emergency, something outside anybody's control), we will tell you as soon as we know, refund everything you have paid, and help you find another florist.

Photographs

We may photograph our flowers on the day, before the guests arrive, and show them on our website and our accounts. We never photograph a guest without asking, and if you would rather we did not photograph your wedding at all, say so and we will not.

Your rights

If you confirm a booking at a distance (by email or telephone rather than in the shop), the Consumer Contracts Regulations may give you a right to cancel within 14 days. Our Complaints policy says how we handle a complaint and how quickly.

Changes are dated and logged on the page where these terms are published. The version that applies to a booking is the one in force when the deposit was paid.
